An Educator Seat covers one account that can create or grade content — a teacher, instructor, trainer or TA — and costs $1.67 per month, billed annually ($19.99 per year). Learners who only view courses and take assessments are free on every plan, so you only count the people building and marking the work.

No — there's no per-learner fee and learners are unlimited on every plan. You pay for educator seats, and fair use asks only that your seats keep pace with your enrolment: each seat covers up to 100 enrolled learners, pooled across your whole institution. In practice it rarely changes anything — an educator with 125 learners and another with 50 come to 175 in total, inside the 200 their two seats already cover, so there's nothing extra to pay. If your enrolment does outgrow your seats, we'll flag it and agree the right number of seats with you rather than changing anything silently.

Every AI task draws AI credits — text generation such as lesson plans, slides, question sets, study guides and worksheets, as well as image and video generation, AI grading, AI-graded questions, AI Tutor and AI Assistant conversations, Reflections feedback and Cog Insights — at the same cost on every plan. Each Educator Seat comes with 100 AI credits to start, once, when you buy it (and with each seat you add later; they are not re-granted at renewal). After that, power AI by connecting your own API key (BYOK, free on every plan — your AI, your key, your data agreement) or by buying AI credit packs from your admin portal whenever you need them — $10 for 1,000 credits, and they never expire. Usage shows in your AI usage reports either way.

No seat limit while you evaluate, unlimited free learners, all 30 AI tools, and 200 AI credits to evaluate them — no credit card required. On the free plan every AI action draws credits; the costs below are the same on every plan. 1 credit: a chat turn with the AI Tutor, AI Assistant or Cog Insights, a single AI-graded short-answer or essay question, or Reflections feedback on a personal note. 3 credits: any single text generation — lesson plan, slides, study guide, worksheet, syllabus decompose, or a question set of up to 5 — a Reflections class summary, and the overall AI feedback summary on a graded quiz. 10 credits: AI grading of a submitted file or document, a capstone/project submission, and each AI-generated image. 20 credits: AI grading of an audio or video submission. 100 credits: each AI-generated video clip — flat, whatever its length, and nothing is charged if a clip fails. AI video generation needs the Educator Seat or your own key (BYOK); image generation works on the free plan.

The free plan is for schools, universities, training providers and other organizations. Educators should launch EduGears AI from your LMS with an email address on your institution's own domain. We review every new connection, and a free platform we can't verify — for example, one used only with personal addresses such as Gmail or Outlook — is deactivated automatically. Yes — EduGears AI works with both self-hosted Moodle and Moodle Cloud. On Moodle Cloud Premium plans (which allow plugin install) you can use our one-click Moodle plugin for the simplest setup. On Moodle Cloud Starter (no plugin install), use the universal LTI 1.3 registration URL under the 'All LMS' tab on our setup page — the same path used for Blackboard and Brightspace. Either way takes about 3 minutes.

BYOK lets you connect your own API key from OpenAI, Anthropic (Claude), Google (Gemini), DeepSeek, or Sarvam AI. We use your key (encrypted at rest) only when making AI calls for your platform, so advanced AI — image generation, AI grading, AI Tutor, AI Assistant and the rest — runs on your provider account at their rate instead of drawing AI credits, and nothing is charged by us. BYOK is free and works on every plan, including Free. Sign in to the admin portal, open AI Providers, paste your key, and we validate it against the provider before saving.

We continuously evaluate the leading AI providers and models against real teaching workloads, and keep your platform on a managed default that balances performance, reasoning, file handling, and cost. If you'd prefer a different provider or model, the Bring Your Own Key option is free on every plan: connect your OpenAI, Anthropic (Claude), Google (Gemini), DeepSeek, or Sarvam AI key and we'll route your calls through it.

Install EduGears AI as an LTI 1.3 external tool in your LMS (Moodle, Canvas, Blackboard, or Brightspace). During registration you will receive a claim code to link your platform to the billing portal.

A claim code (e.g. EG-XXXX-XXXX) is automatically generated when your LMS registers with EduGears AI. You enter this code in the admin portal to link your platform and manage its subscription. You can find it in your LMS dashboard under the EduGears AI section.

Sign in to the admin portal, open your platform and add educator seats anytime — the charge is prorated to your renewal date, and each new seat brings 100 AI credits. To reduce seats, click “Manage Billing”; seat reductions take effect at your next renewal. The Educator Seat is billed annually — there is no monthly plan. If you're on one of our earlier plans, your subscription keeps working at the price you signed up at until you choose to move, and the AI terms that apply to it are shown in the admin portal.

Click "Manage Billing" on your platform page and choose "Cancel plan" in the Stripe portal. Your subscription stays active until the end of your current annual term — you will not lose access immediately — and it simply doesn't renew. You can resubscribe at any time.

The Educator Seat renews automatically each year at your current seat count. If a renewal payment fails, your platform stays active for about 14 days while the payment is retried, so nothing stops mid-term. Add educator seats anytime — the charge is prorated to your renewal date. Seat reductions take effect at your next renewal. The free plan is the trial: annual fees are non-refundable once the subscription is active, except duplicate or erroneous charges reported within 14 days.

Yes. Each LMS platform has its own claim code and subscription. From the portal dashboard, click "Link Another Platform" and enter the new claim code. You can manage billing for each platform independently.

Yes. All payments are processed securely through Stripe, a PCI-DSS Level 1 certified payment provider trusted by millions of businesses worldwide. We never store your credit card information on our servers — all payment data is handled entirely by Stripe.
